With general supervision, this position is responsible for coordinating and managing external vendors for our building infrastructure and manufacturing equipment maintenance, ensuring cost-effective, timely, and high-quality service delivery. This role also develops purchase requisitions and scopes of work that comply with appropriate company policies and procedures while maximizing the value obtained from external vendors.

DUTIES AND RESPONSIBILITIES:
  • Identify maintenance service needs and source qualified vendors to fulfill them.
  • Evaluate vendor proposals, negotiate contracts, and manage vendor relationships.
  • Develop and maintain a list of approved vendors for various maintenance services.
  • Work with internal stakeholders, including maintenance technicians, planners, and department heads, to define service requirements, obtain quotes, and coordinate vendor activities.
  • Monitor vendor performance, track key performance indicators (KPIs), and ensure service level agreements (SLAs) are met.
  • Maintain accurate records of all vendor activities, contracts, and expenditures.
  • Audit vendor invoices for accuracy and compliance with contracts. Identifies and corrects any discrepancies.
  • Stay up-to-date on industry best practices and new vendor solutions related to building and manufacturing equipment maintenance.
  • Maintains strict confidentiality of sensitive information.
  • Performs other duties as assigned.
  • Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company. Expected to work in a safe manner in accordance with established operating procedures and practices.

Job Qualifications:
  • Typically requires a bachelors degree in a related discipline and three or more years of progressive professional maintenance planner. Equivalent professional experience may be substituted in lieu of education.
  • Three or more years of progressive professional experience in vendor coordination, procurement, or facilities management. Equivalent professional experience may be substituted in lieu of education.
  • Strong understanding of vendor management principles and practices.
  • Familiarity with building infrastructure systems, including electrical, mechanical, plumbing, HVAC, roofing, and fire protection systems.
  • Familiarity with manufacturing systems, including CNC machines, saws, grinders, mills, lathes, robotics, hydraulic systems, and any other similar manufacturing equipment.
  • Experience with enterprise resource planning (ERP) systems (SAP preferred) or procurement software.
  • Experience with cloud-based workflow automation platforms (ServiceNow preferred).
  • Excellent analytical and problem-solving skills, with a focus on cost-effectiveness and value.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong analytical, verbal, and written communication skills to accurately document, report, and present findings.
  • Ability to work independently and as part of a team.
  • Excellent time management and organizational skills.
  • Must be customer focused and possess the ability to identify issues, analyze data and develop solutions to a variety of problems of moderate scope and complexity.
  • Must have experience organizing, planning, scheduling, conducting, and coordinating work assignments to meet project milestones or established completion dates.
  • Must possess the ability to understand new concepts quickly and apply them in an evolving environment while contributing to the development of new processes.
