We have an exciting opportunity for a mid-level Project Administrator (Executive Assistant) to join our Advanced Programs group located in Poway, CA. The ideal candidate will provide direct support to the Senior Director of Advanced Programs, supporting a department of approximately 40 engineers working across many different programs/projects.

DUTIES & RESPONSIBILITIES:
  • Performs in an Executive Assistant role to Sr Director of Advanced Programs.
  • Supports the department/organizational structure of six Directors and approximately 40 program engineers.
  • Participates in organizational and administrative problem solving with leadership staff.
  • Schedules meetings, manages visits, and performs calendar management activities.
  • Manages weekly status/highlights report to executive leadership.
  • Develops department labor reports, monitors overhead utilization, timecard compliance, etc.
  • Manages department manpower, staffing, and hiring plans.
  • Develops staffing projections and organizational charts.
  • Supports staff logistics, office moves, IT service requests, and new hire onboarding.
  • Manages travel requests and expense reports.
  • Plans, leads, executes department social events.
  • Manages department SharePoint website.
  • Supports/leads ad hoc tasking in dynamic work environment.
  • Develops appropriate electronic and hard copy reports and records.
  • Maintains the strict confidentiality of sensitive information.
  • Responsible for observing all laws, regulations, and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
  • Highly desirable for candidate to work full time in office, occasional remote work is acceptable.

Job Qualifications:
  • Typically requires a bachelors degree in Business Administration or a related discipline and three or more years of progressive professional project administration experience. Equivalent professional experience may be substituted in lieu of education.
  • Must demonstrate a general understanding of project administration principles, theories, concepts and techniques.
  • Must have experience organizing, planning, scheduling, conducting, and coordinating work assignments to meet project milestones or established completion dates.
  • Must possess the ability to understand new concepts quickly and apply them in an evolving environment while contributing to the development of new processes.
  • Ability to work extended hours as required.
  • Ability to obtain a maintain a DoD secret security clearance is required.
  • Must be customer focused and possess:
    • The ability to identify issues, analyze data and develop solutions to a variety of problems.
    • Good analytical, verbal and written communication skills to accurately document, report, and present findings.
    • Good interpersonal skills enabling an effective interface with other professionals.
    • Good computer skills.
    • Ability to work independently or in a team environment is essential.
    • Ability to work extended hours as required.

Salary:$62,510 - $105,628
