Job Summary General Atomics (GA), and its affiliated companies, is one of the world’s leading resources for high-technology systems development ranging from the nuclear fuel cycle to remotely piloted aircraft, airborne sensors, and advanced electric, electronic, wireless and laser technologies.
We have an exciting opportunity within the General Atomic’s Timekeeping and Labor Compliance Department for a Department Specialist, located in Torrey Pines/Rancho Bernardo, CA.
Under limited supervision, this position assists with timekeeping and labor compliance by assisting with employee communications and supporting administrative processes. The primary responsibilities include managing the department’s shared inbox, responding to employee inquiries, processing necessary corrections, and helping ensure the department operates efficiently with its daily functions.
This role operates within a collaborative team environment, where attention to detail, consistent follow-through, and clear communication are essential. It requires a naturally curious, detail-oriented, and analytical mindset, along with the ability to quickly grasp new concepts and processes, identify patterns or gaps, and demonstrate a strong desire to understand how individual contributions support the bigger picture.
DUTIES AND RESPONSIBILITIES:
- Monitor and maintain the department's shared inbox and following up on items as directed.
- Draft and send emails to employees based on timecard audit findings or other routine communications, using provided templates and guidance.
- Enter timecard corrections based on approved timecards submitted by managers and employees.
- Comfortable working in a dynamic environment with shifting priorities, and able to adapt quickly and positively, while continuing to support ongoing day-to-day responsibilities.
- Assist in tracking and following up on workflow approvals, timecard rejections, missing time, and missing signatures
- Assist with coordinating training assignments by reviewing records and distributing training communications to employees and managers as directed.
- Updates timecard approver table and delegates as directed
- Distribute onboarding and workflow communications for new hires and interns.
- Strong Excel skills preferred to maintain and improve spreadsheets and logs, and to support efforts to streamline how data is tracked, organized, and reported
- Identifies and escalates potential issues, collaborates with the team to communicate inconsistencies, and offers support when possible.
- Provide general administrative support for timekeeping activities and other routine tasks based on team priorities.
- Maintains strict confidentially of sensitive information.
- Responsible for observing all laws, regulations and other applicable obligations wherever and whenever business is conducted on behalf of the Company.
- Other duties as assigned.

Job Qualifications:
- Typically requires a high school diploma or equivalent and two or more years experience in a field related to the specialized functional area or unit where assigned. Must demonstrate a broad understanding of assigned functional area principles, theories, and concepts.
- Must possess:
- the ability to grasp new concepts quickly;
- the ability to maintain the confidentiality of sensitive information;
- strong organization skills and the ability to establish priorities;
- the ability to identify issues and solve routine problems;
- good analytical, interpersonal, verbal and written communication skills to accurately document and report;
- full knowledge of computer operations and applications.
- Ability to work both independently and in a team environment is essential as is the ability to work extended hours as required.
Salary:$44,590 - $66,295
